At The Specialist Menopause Clinic, we are committed to providing high-quality care and ensuring that appointment times are used efficiently. This policy outlines how patients can cancel or reschedule appointments, and what happens in the case of short-notice cancellations or missed appointments.
1. Notice Period
We kindly request that you provide at least 48 hours’ notice if you need to cancel or reschedule your appointment.
- This allows us to offer the appointment to another patient who may be waiting.
- Cancellations can be made by phone, email, or through our online booking system (if applicable).
2. Cancellation Fees
If you cancel with less than 48 hours’ notice the following charges will apply:
- 50% of the appointment fee
If you cancel with less than 24 hours’ notice, or fail to attend your appointment without informing us, the following charges will apply:
- 100% of the appointment fee
- For appointments covered by insurance, missed appointment charges may not be reimbursed by your provider.
Fees are payable before further appointments can be booked.

Please do not cancel via social media as these channels may not be monitored for appointment-related requests.
4. Exceptions
We understand that emergencies or sudden illness can happen. In exceptional cases, we may waive the cancellation fee at our discretion. Please speak to us if you feel your situation warrants special consideration.
5. Repeated Cancellations or No-Shows
To ensure fairness and continuity of care:
- Patients with repeated late cancellations or no-shows may be discharged from the clinic.
- This helps us manage our diary effectively and ensure that all patients have fair access to appointments.
6. Changes by the Clinic
On rare occasions, we may need to reschedule your appointment due to staff illness or emergencies. If this happens, we will contact you as soon as possible and offer the next available appointment.
